New York off-cycle due dates explained

New York requires certain property types to be reported at different times of the year. These due dates, also called off-cycle due dates, are different than the typical reporting schedule based on business category.

For example, if your business category is “Corporation,” you need to report to New York by March 10th. But if you have a CK12 property, it must be reported separately by February 15th.

Follow these steps to find and report New York properties with off-cycle due dates:

  1. Go to the All tab on the Compliance Resources page and download the New York Due Dates document to view the property-specific due dates for New York.
  2. On the Properties page, filter for current New York properties.
    • Click the Add icon next to Advanced filter.
    • Select Report State, select equals, then enter “NY.”
    • Click the Add icon again.
    • Select Report Year, select equals, then enter the report year.
    • Click Apply. Then compare your properties to the New York Due Dates document to see if they have a different due date.

Use the Property code dropdown to filter for specific property codes one at a time based on the New York Due Dates document. Or click Download properties as .xlsx and filter the Excel file for multiple property codes. Look for the following property codes: CK07, CK08, CK12, CT02, INxx, UTxx.

  1. Change the status of properties that are not due off-cycle, and you do not want to report yet to On hold (H).
  2. Create due diligence letters and state reports for the off-cycle properties. After submitting, the properties’ statuses automatically change to Reported (R), and they are moved to the Archived tab on the Properties page.
  3. The properties that are not due off-cycle still have an On hold (H) status and need to be updated before reporting. Change the status of properties that are not due off-cycle back to Open (O). Then, when it’s time to mail and report them, create due diligence letters and state reports as usual.
